Share Freeform boards and collaborate on Apple Vision Pro

In the Freeform app, you can invite people to collaborate on a board in iCloud, and everyone will see the latest changes when they’re online and signed in to their Apple Account. You can also send a PDF copy of a board to others.

Invite others to collaborate on a board

When you share a Freeform board using iCloud, you can see what changes others have made in a board, get notifications when people enter or leave a board, and see edits as others make them. Changes are saved in iCloud, so everyone with access to the board sees the latest version whenever they open it.

Everyone you share with must be signed in to their Apple Account to edit or view the board.

  1. Go to the Freeform app on your Apple Vision Pro.

    If you’re currently working in a board, tap the name of the board, then tap Open.

  2. Pinch and hold a board, then tap Manage Shared Board.

  3. Do any of the following:

    • Invite collaborators: Tap Share With More People, then choose who you want to share the board with and how.

      Tip: You can also tap Copy Link, then paste the link directly into a message or an email.

    • Change permissions for a specific collaborator: Tap the name of the collaborator, then make updates.

    • Change sharing settings for the whole board: Tap Share Options, then make updates.

    • Stop sharing the board: Tap Stop Sharing.

      If you stop sharing, the board no longer appears on the devices of the other participants, but you still have access to it.

When you’re working in a shared Freeform board, you see a notification whenever a collaborator joins or leaves the board.

Collaborate on a board in real time

You can collaborate on a board in real time by sharing with people nearby or sharing during a call, such as in FaceTime, so you can work on the board together.

  1. Go to the Freeform app on your Apple Vision Pro.

  2. Look to the right of the window bar, then tap the Share Window button.

  3. Do either of the following:

Export a PDF copy of a board

  1. Go to the Freeform app on your Apple Vision Pro.

  2. Open the board you want to share, tap the name of the board, then tap Export as PDF.

  3. Choose how you want to share the board, such as AirDrop, Messages, or Mail, and follow the instructions.

    People and groups you’ve communicated with recently appear as icons. Tap one to share the board with them.
